1. Personal information we collect

KVBiz (the "Company") collects the following personal information when you request a consultation and use the service.

• Required: company name, contact person, email, phone, service of interest, inquiry details
• Optional: Vietnam expansion stage, preferred region / timeline / budget
• Automatically collected: IP address, cookies, browser and device information, service usage records (visit date/time, pages, etc.)

2. Purpose of collection and use

• Providing Vietnam market-entry consultation and responding to inquiries
• Reviewing the partners and scope of support you need and making tailored proposals
• Consultation, follow-up contact and service information
• Improving service quality and analyzing usage statistics

3. Retention and use period

The Company destroys personal information without delay once the purpose of collection and use is achieved. However, it retains information for the following periods.

• Consultation / inquiry records: 3 years after the consultation ends (to handle re-inquiries and disputes)
• Where a retention obligation is required by law: the period prescribed by that law

4. Provision to third parties

The Company does not provide personal information to third parties without the user's consent. Where necessary to carry out the consultation, it may be provided to relevant local partners only within the scope agreed in advance; exceptions apply where there is a legal basis or a lawful request from an investigative authority.

5. Consignment of processing

The Company entrusts personal information processing to the following providers to deliver the service, and sets out by contract the measures necessary to keep personal information secure. Processors may be located overseas, and personal information may be stored and processed abroad (e.g., in the United States).

• Cloud infrastructure and hosting: Vercel Inc.
• Database and account authentication: Supabase Inc.
• Email delivery: Resend
• Usage statistics and advertising analytics: Google (Google Analytics), Meta (Meta Pixel)

6. Destruction procedure and method

• Procedure: Personal information whose retention period has passed or whose purpose has been achieved is destroyed in accordance with internal policy.
• Method: Electronic files are deleted using an unrecoverable method, and printed materials are shredded or incinerated.

7. Rights of data subjects and how to exercise them

Users may request access to, correction or deletion of, suspension of processing of, and withdrawal of consent for their personal information at any time, and the Company will act without delay. You may exercise these rights through the consultation request page or the privacy officer contact below.

8. Security measures

• Administrative: establishing and implementing an internal management plan; minimizing and managing access rights
• Technical: encryption of data in transit (HTTPS/TLS); access control and access logging
• Physical: storing data on reliable cloud infrastructure

9. Cookies and automatic collection tools

The Company uses cookies and similar technologies to analyze and improve service usage. You may refuse cookie storage through your browser settings, in which case some services may be limited.

10. Privacy officer

The Company has designated a privacy officer to oversee personal information processing and to handle users' inquiries and complaints.
